Steps:
Navigate to the Contact's Conversations:
Go to the Contacts section in the left-hand menu.
Find and click on the specific contact you want to email
Within the contact's record, click on the Conversations tab. This tab displays the history of emails and SMS messages exchanged with this contact.
Start Composing an Email:
Click the Email button located in the top-right corner of the Conversations pane.
An email composer window will slide out or appear.
Fill in Email Details:
From: This usually defaults to your logged-in user email address.
To: This usually defaults to the contact's primary email address.
Cc / Bcc: (Optional) Click these links to add Carbon Copy or Blind Carbon Copy recipients.
Subject: Enter a subject line for your email.
Use an Email Template (Optional but Recommended):
Click the Select an email template dropdown menu.
Choose a pre-defined template from the list (e.g., "5 days AFTER renewal - Sale Made").
Selecting a template will automatically populate the Subject and the Body Content with the template's text.
Compose or Edit the Email Body:
You can type your message directly into the body content area.
Use the rich text editor toolbar to apply formatting (bold, italics, lists, links, etc.).
Insert Dynamic Variables (Custom Fields):
Templates often include placeholders like {{ Last name }}. To add more personalization or insert specific contact details:
Click the curly braces icon {} in the editor toolbar.
A dropdown menu will appear showing available variables categorized under User (details about you) and Contact (details about the recipient).
Select the desired variable (e.g., contact.postal_code, contact.t_shirt_size).
The placeholder will be inserted into your email body. When the email is sent, the system will automatically replace this placeholder with the actual value from the contact's record
This is powerful for creating personalized emails efficiently without manual lookup.
Add Attachments (Optional):
Click the paperclip icon in the editor toolbar.
Browse your computer and select the file(s) you want to attach.
The attached file name(s) will appear below the body content area.
Send the Email:
Review your email subject, body, recipients, and attachments.
Click the Send button.
Confirmation:
A confirmation message ("Mail sent successfully!") will briefly appear at the top.
The email you just sent will now appear in the contact's Conversations history, showing the subject, timestamp, and content.
